Inclement Weather Policy

All policies are effective as of July 1, 2024.

This policy aims to ensure transparency, safety, and effective communication during challenging weather situations, prioritizing the well-being of our studio community.

Communication Protocol

Upon power outages, infrastructure issues, or the threat or experience of inclement weather, we will communicate updates via:

  • Email and text notifications to all registered students;

  • Push notifications through fitDEGREE;

  • Social media channels; and,

  • Posting notices on our website homepage.

You will not receive these notifications if you are opted out of SMS/text, email, or fitDEGREE app notifications. Please make sure your fitDegree notifications are turned on and that you are opted in to receive messages so that you receive updates. If a student does not have these notifications turned on and show up to class, this is not the responsibility of Crown Yoga.

Class Cancellation Criteria

Under this policy, classes may be canceled or rescheduled under the following circumstances:

  • Severe weather warnings (e.g., blizzards, hurricanes, extreme heat waves) issued by local authorities;

  • Unsafe travel conditions, including road closures or transportation disruptions;

  • Unsafe parking lot conditions, to include floods, ice, or other unforeseen issues/concerns; and/or

  • Power outages or infrastructure issues affecting the studio's functionality.

Decision Timing

Our aim is to make cancellation decisions at least two hours before the scheduled class time, whenever possible. This allows students and instructors ample time to adjust plans. However, this is not always possible. 

Cancellation Notification

Upon class cancellation, students will be notified through all available communication channels mentioned under Communication Protocol. Additionally, updates will be provided regarding rescheduling or refunds for prepaid classes, if applicable.

Make-up Classes

Efforts will be made to reschedule canceled prepaid workshops, series classes, or special events at the earliest possible convenience for both students and instructors. Make-up dates may be held on weekends or during non-peak hours. Regularly scheduled classes will not be rescheduled.

Online/Virtual Alternatives

In the event of severe weather or other issues preventing in-person classes, we will explore conducting virtual classes through live streaming platforms. Information on how to join these sessions will be communicated to students at the earliest available time through the channels mentioned under Communication Protocol.

Safety First

The safety of our students and instructors is paramount. Under hazardous weather conditions, we strongly encourage everyone to prioritize personal safety when traveling to and from the studio.

Refund Policy

In cases where classes cannot be rescheduled, prepaid events will be refunded, or credit will be provided for future classes.

Regular Updates

We'll provide regular updates as weather conditions change, ensuring our students are well-informed about any developments as stated under Communication Protocol.

Review and Revision

This policy will be periodically reviewed and updated to align with current best practices and feedback from our students, and staff (“community”).
